01 - HOW GIG SCHEDULING WORKS

From “who's free?”
to a full lineup.

No more chasing replies in the group chat. The lineup lives on the gig, and everyone answers for themselves.

1

Set up positions

List the spots your band fills, like Vocals, Drums or Keys, once for the whole space.

2

Add the gig

Create a setlist with the date, time and venue. Add a slot for every position you need, two vocalists if you need two.

3

Invite players

Pick someone for each slot. They get an email with I'm in and Can't make it, and can answer in the app too.

4

Watch it fill up

Every position shows how many have said yes. Anyone who hasn't answered gets a reminder before the gig.

02 - BAND SCHEDULING

Everything it takes
to book the band.

Lineups, answers, reminders and calendars in one place, on the web and in the app.

🎤

Positions you define

Vocals, Drums, Keys, Sound - whatever your band fills. Add two slots when you need two, and let one player cover more than one.

✉️

Answer from the email

Every invite comes with I'm in and Can't make it buttons. Players asked to cover two positions can answer each one.

🔔

Reminders that send themselves

Anyone who hasn't answered gets a reminder in the three days before the gig, never more than one a day. Send one yourself any time.

👀

See who's short

Each position shows how many have said yes, and anyone quiet for three days is flagged. You get an email when someone answers.

🗓️

Calendar sync

Subscribe in Apple or Google Calendar and every gig appears with your positions and the songs. Pending invites can show as tentative.

🔁

Weekly gigs in a click

Duplicate a gig for next week. The running order and positions come along as open slots, and nobody is invited until you choose.

🙋

Deps and stand-ins

Someone can't make it? Send a dep an invite link to your space, then book them into the open slot like anyone else.

📱

Answer on the go

Players answer invites in the iPhone, iPad and Android app, or right from the Invites widget on an Android home screen.

🔒

You decide who books

Only members whose role can manage setlists build lineups. Everyone else sees the plan and answers for themselves.

FAQ

Gig planning questions.

Is Music Planner a gig calendar for bands?+
Yes. Every gig is a setlist with a date, time and venue, and each player can subscribe to their gigs in Apple Calendar, Google Calendar or any app that takes a calendar link. Pending invites can show as tentative until they answer.
How do players say if they can make a gig?+
They get an email with I'm in and Can't make it buttons, and the same answer is on the setlist page and in the app. Someone asked to cover two positions can answer each one separately.
How do reminders work?+
Anyone who still hasn't answered gets an email reminder in the three days before the gig, at most once a day. You can also send a reminder yourself from their row on the People tab.
Can I book a dep for a gig?+
Yes. Send them an invite link to your band space so they have an account in it, then pick them for the open slot like any other member. They answer the same way.
Does it handle recurring gigs like weekly rehearsals?+
Duplicate the last one. The copy lands a week later by default with the same running order and positions as open slots, ready for you to invite players.
Can players block out dates they're away?+
Not yet. Players answer each invite instead, and you see the answers per position as they come in.
Does band scheduling cost extra?+
No. Positions, invites, reminders and calendar sync are on every plan, including the free Starter plan for up to 10 members.
Does everyone need an account?+
Yes, a free one. Players join your band space with an invite link, and the space's plan covers everyone in it.
